The Diary retrieves details from two sources:
Events that have been created but are not yet marked as "Completed" or "Lodged with CRO".
The Next ARD listed on the General2 tab of the company — this applies when an event hasn't been created yet.
When a B1 event is created, this ARD date is automatically rolled forward to the following year. This is intended to trigger a diary alert, prompting users to create the new event and take appropriate action.
However, if a client manually rolls the Next ARD backward so it matches the date of an existing event, the diary logic becomes confused. It then shows both the ARD from the General2 tab and the event (with that same date), potentially leading to misleading status information.
This should not be done.
Rolling the ARD date backward can prevent the diary from detecting the actual next ARD. This increases the risk of missing ARDs, which may result in penalties and loss of audit exemption.
Making Space or Removing Inactive Companies
If a client needs to make space by removing unused companies (e.g., for new clients or due to license limits), follow these steps:
Open the company in the system.
Go to Events and ensure that all events are marked as 'Ready to E-File'.
These events will then appear in the E-Filing List.
Make a note of the Draft ID or Submission Number for each event.
Navigate to Tools > Utilities > Clear Submission No.
Once this is completed for all events, go to Misc.
Tick the box for 'Change Company to Non-Client'.
This action removes the company from the active list but retains it in the background as a green company.
What Is a Green Company?
A green company is a placeholder company retained in the system for directorship linking purposes.
For example:
Suppose a director is listed for both Relate and Surf companies.
On the Relate B1, Surf must be listed under "Other Directorships".
On the Surf B1, Relate must appear similarly.
If you delete the Relate company entirely, the Surf B1 would lose its directorship reference — which is not acceptable. Instead, Relate is converted into a green company, stripping out unnecessary data but retaining its structure for compliance and linking purposes.
