The Billing function in Drive has many features, including a Copy Narrative which allows you to copy notes and formats so you don’t need to constantly edit other bills. We will outline the steps in ‘Using this Feature’ below.
Using this Feature
Open the Billing section of the Fees Ledger in Drive and highlight the bill you wish to update the description/notes for. Right-click and select Print. From here you select the Template you want to use with the dropdown and make any other edits before clicking Preview.
The bill will open in Word to allow edits to be made. Type any notes or descriptions you need below and Save them in Word.
Highlight the bill in Drive, right-click, and choose Copy Narrative as below.
The system will confirm that the narrative has been copied successfully – this will now show on any other bills that you want to preview/print as in the steps above.
To remove the narrative from any bills, highlight, right-click, and select Print. In the below screen, ensure you select Update Bill and confirm before previewing. It will then show without the previous narrative.
Note: You can also use this option if you have made changes to the bill before previewing and wish to show the changes.
You can also email the bill using the Email button on this screen. When you click here it will open the bill for you and you can send it to the client from here. There is also an option in settings that allows you to make this read-only so that it cannot be edited once it is sent. You can also categorise the emails with the job here as well. Once you hit send it will go to your outbox in communications.
Click into My Communications and select Emails – Outbox before hitting the (Send/Receive Button) to send to the client.
